Stage Application Lead

The SMASH! Production Department brings the stages to life — handling all the logistics and technical magic that make SMASH! stages unforgettable! We make sure every stage runs smoothly and successfully, all while having fun, collaborating with a lively team, and chatting with people both inside and outside of SMASH!

As a Stage Applications Lead in the Production Department, you’ll take on a unique role — acting as the main point of contact for our stages that host content from our wonderful community! You’ll be our expert on everything related to the SMASH! community, connecting and working alongside them to ensure their journey with SMASH! — from application to convention day — is smooth and transparent.

Though it’s a leadership role, we understand you may be just starting out, so you can expect plenty of guidance to help you succeed. You’ll also receive support from our Directors in all aspects, including developing your leadership skills. Along the way, you’ll make valuable connections and grow in your role.

Key Responsibilities:

Pre-Convention

  • Take ownership of the application forms for our community-involved stages, including but not limited to the Performance Stage and Panels Stage.
  • Take ownership of improving the application process — including what data to collect, how to make the process clearer, and other enhancements.
  • Take ownership of the terms and conditions for our applications.
  • Serve as the first point of contact (stageapplications@smash.org.au) for all application-related queries from our applicants and community.
  • Work alongside our Stage Managers to ensure alignment and communicate relevant information back to applicants — for example, acceptances, stage specifications, and other updates.
  • Vet submissions to confirm their validity, and follow up with applicants before applications close if any are invalid.
  • The Stage Applications Lead will not be responsible for judging applications or selecting which applicants are chosen.

On the Day

  • Engage with performers and panelists to gather feedback to help improve the application process and overall stage experience.

Skills and Experience

  • Strong understanding of SMASH!’s local performers and panelists community.
  • Strong verbal and written communication skills for liaising with staff and, especially, our local community.
  • Experience using Google Forms and Gmail.
  • Adaptability and problem-solving skills.
  • A team-oriented and collaborative approach to work.

Availability

  • Contactable at least three days per week via Slack, email, and phone.
  • Attendance at staff meetings and ad hoc workshops.
  • Available in person for convention setup day and the convention days.

Qualifications (Desirable)

  • Experience with the SMASH! Performance or Panel application process.
  • Community engagement or liaison experience.
  • Previous volunteer or management experience.
  • Highly motivated and self-sufficient.
