Cosplay Director

The Cosplay Department is responsible for the planning, coordination, and delivery of all cosplay-related programming at SMASH!. The department plays a key role in community engagement, creative expression, and attendee experience, overseeing a diverse range of activities that celebrate cosplay culture.

These activities include, but are not limited to:

  • The main cosplay competition
  • Cosplay catwalks and showcases
  • Interactive cosplay activities and workshops
  • Operation of the cosplay desk as a central point for information, registration, and support
  • General coordination of cosplay participants, judges, and volunteers

The department works closely with other SMASH! teams to ensure cosplay programming is safe, inclusive, well-organised, and aligned with the event’s overall vision and standards.

The Cosplay Director leads the Cosplay Department and is responsible for the strategic planning, management, and successful delivery of all cosplay-related programming at SMASH!. Reporting directly to Executive Management, the Cosplay Director ensures that cosplay activities are professionally run, compliant with policies, and aligned with SMASH!’s vision and values.

Key Responsibilities Include:

  • Lead the planning, management, and execution of all cosplay events and activities at SMASH!
  • Assist the Assistant Cosplay Director with managing the SMASH! Cosplay Competition, including advance planning and on-the-day (OTD) operational support
  • Oversee and delegate the development of detailed equipment lists and run sheets for cosplay events and competitions
  • Ensure all cosplay programming is delivered smoothly, safely, and to a high standard
  • Review, maintain, and enforce cosplay competition and event guidelines
  • Ensure there are no loopholes, inconsistencies, or errors in rules, judging criteria, or event documentation
  • Work closely with Executive Management and relevant departments to ensure the smooth delivery of cosplay events
  • Ensure cosplay-related questions from attendees and participants are answered accurately and professionally
  • Respond to and manage cosplay-related email enquiries and communications
  • Ensure clear, consistent communication with contestants before and during the event
  • Oversee the recruitment, training, and management of cosplay volunteers
  • Ensure all volunteers are appropriately trained to support cosplay competitions, games, and activities
  • Provide guidance and escalation support to volunteers during the event

Essential:

  • Experience in managing a team with a range of responsibilities
  • Contactable on a regular basis via email and phone
  • Strong communication skills
  • Attend meetings, workshops and activities as required
  • Be available throughout the year for staff workshops, department meetings and volunteer training sessions
  • Available for convention day(s) in Sydney, Australia
  • Knowledge and passion in a wide range of cosplay related activities
  • Time management skills and have the ability to work under pressure
  • Ability to work independently and follow the directions from upper management
  • Risk management skills
  • Ability to communicate with large numbers of attendees and contestants in a friendly and suitable manner

Desirable:

  • Previous volunteer or customer service experience
  • Experience in running events or workshops
