Cosplay Assistant Director

The Cosplay Department is responsible for the planning, coordination, and delivery of all cosplay-related programming at SMASH!. The department plays a key role in community engagement, creative expression, and attendee experience, overseeing a diverse range of activities that celebrate cosplay culture.

These activities include, but are not limited to:

  • The main cosplay competition
  • Cosplay catwalks and showcases
  • Interactive cosplay activities and workshops
  • Operation of the cosplay desk as a central point for information, registration, and support
  • General coordination of cosplay participants, judges, and volunteers

The department works closely with other SMASH! teams to ensure cosplay programming is safe, inclusive, well-organised, and aligned with the event’s overall vision and standards.

The Assistant Cosplay Director supports the Cosplay Director in the planning, coordination, and delivery of all cosplay-related programming at SMASH!. Acting as a key operational leader within the Cosplay Department, the Assistant Cosplay Director helps ensure events run smoothly, policies are followed, and volunteers and contestants are well supported.

The Assistant Cosplay Director works closely with the Cosplay Director and may act as a delegate for the Cosplay Director when required.

Key Responsibilities Include:

  • Assist with the planning and delivery of cosplay events and activities
  • Provide hands-on support for the SMASH! Cosplay Competition, including preparation and on-the-day operations
  • Help prepare and follow run sheets, schedules, and equipment lists
  • Support cosplay competition, catwalks, and activities during the event
  • Assist in applying and clarifying cosplay competition rules and guidelines
  • Help identify and report any issues to the Cosplay Director
  • Support fair and consistent enforcement of cosplay policies on the day
  • Answer cosplay-related questions from contestants and attendees, escalating issues when necessary
  • Assist with responding to cosplay-related emails and enquiries
  • Support clear communication between contestants, volunteers, and department leadership
  • Relay important information accurately during the event
  • Assist with briefing and supporting cosplay volunteers
  • Help ensure volunteers understand procedures, safety rules, and their assigned tasks
  • Provide on-the-day support to volunteers running cosplay competitions and games
  • Provide practical assistance to the Cosplay Director and department leadership as needed
  • Help maintain a welcoming, inclusive, and well-organised cosplay environment

Essential:

  • Experience in managing a team with a range of responsibilities
  • Contactable on a regular basis via email and phone
  • Strong communication skills
  • Attend meetings, workshops and activities as required
  • Be available throughout the year for staff workshops, department meetings and volunteer training sessions
  • Available for convention day(s) in Sydney, Australia
  • Knowledge and passion in a wide range of cosplay related activities
  • Time management skills and have the ability to work under pressure
  • Ability to work independently and follow the directions from upper management
  • Risk management skills
  • Ability to communicate with large numbers of attendees and contestants in a friendly and suitable manner

Desirable:

  • Previous volunteer or customer service experience
  • Experience in running events or workshops
