Cosplay Area Manager

The Cosplay Department is responsible for the planning, coordination, and delivery of all cosplay-related programming at SMASH!. The department plays a key role in community engagement, creative expression, and attendee experience, overseeing a diverse range of activities that celebrate cosplay culture.

These activities include, but are not limited to:

  • The main cosplay competition
  • Cosplay catwalks and showcases
  • Interactive cosplay activities and workshops
  • Operation of the cosplay desk as a central point for information, registration, and support
  • General coordination of cosplay participants, judges, and volunteers

The department works closely with other SMASH! teams to ensure cosplay programming is safe, inclusive, well-organised, and aligned with the event’s overall vision and standards.

The Cosplay Area Manager is responsible for the on-the-day management and smooth operation of designated cosplay areas at SMASH!. This role focuses on attendee support, safety, and logistics within cosplay spaces, ensuring they are welcoming, organised, and run in accordance with SMASH! policies.

The Cosplay Area Manager works under the direction of the Cosplay Director or Assistant Cosplay Director and coordinates closely with cosplay volunteers assigned to their area.

Key Responsibilities Include:

  • Oversee the operation of assigned cosplay areas (e.g. cosplay desk, mannequin display, photo area and other activations)
  • Ensure the area is set up correctly, maintained throughout the event, and packed down as required
  • Monitor crowd flow, queue management, and general safety within the area
  • Support or oversee the running of the cosplay desk within their area, if applicable
  • Answer cosplay-related questions from attendees and participants
  • Direct cosplayers to appropriate services, activities, or staff as needed
  • Assist with or oversee delegating staff and volunteers to check weapons and props are compliant with the regulations, as well as during queueing prior to the convention opening and during the first few hours of each day
  • Escalate any safety or compliance issues
  • Supervise volunteers assigned to the cosplay area and ensure volunteers understand their roles, schedules, and procedures
  • Act as the primary point of contact for cosplay-related matters within the assigned area
  • Communicate updates, issues, or incidents to the Cosplay Director or Assistant Cosplay Director
  • Coordinate with other departments (e.g. Operations, Executive etc) as needed
  • Help maintain a safe, inclusive, and welcoming environment for all cosplayers and attendees

Essential:

  • Contactable on a regular basis via email and phone
  • Strong communication skills
  • Attend meetings, workshops and activities as required
  • Be available throughout the year for staff workshops, department meetings and volunteer training sessions
  • Available for convention day(s) in Sydney, Australia
  • Knowledge and passion in a wide range of cosplay related activities

Desirable:

  • Previous volunteer or customer service experience
  • Experience in running events or workshops
