Guest Relation Coordinator

The Concert Event team is an ad-hoc team which operates based on pre-agreed contracts between external artists or collaborating companies to deliver the events as agreed.

You will be working as the Primary contact for the Agency Guests, with oversight of the planning and management of the Agency Guest, making sure that their needs are met prior to, outside and during the concert.

The responsibilities for the role is as follows:

  • Contact guests in a timely manner, ensuring they are informed, and their needs are catered to before their arrival in Sydney, Australia.
  • Accompany and escort VIP guests from their accommodation to the convention and during their free travel time, if required.
  • Ability to stick to the budget given for guest activities outside of convention period
  • Provide regular updates to the Event Director on the progress of guest
    management.
  • Respond promptly and appropriately to any unexpected issues while adhering to the code of conduct and safety regulations.
  • Escort assigned VIP guests to hospitality events and activities, if required.

Essential Skills & Knowledge, Experiences, Qualifications

  • Contactable on a regular basis via email and phone
  • Excellent communication skills in English, and other languages a bonus
  • Attend meetings, workshops and activities as required
  • Available for convention day(s) in Sydney, Australia
  • Experience in hospitality or working with guests
  • Available on call for emergencies such as crisis communication (within reason)
  • Strong time-management skills
  • Strong leadership and teamwork skills
  • Strong attention to detail
  • Strong organisational and multitasking abilities.
  • Ability to work in a fast-paced, high-pressure environment.

Desirable Skills & Knowledge, Experiences, Qualifications

  • Previous SMASH! or other convention volunteering experience is desired, but not essential
  • Proficiency in spoken, written, and reading comprehension of Japanese.
  • Proficiency in speaking of Japanese, Chinese or Korean
  • Knowledge and/or interest in Japanese culture and popular cultural references
  • Ability to explain and introduce Australia and its unique culture to guests.
