As a FOH Manager in the Production Department, you’ll take on the rewarding role of managing the logistics for our largest stage at the ICC, Pyrmont Theatre, which hosts our biggest guests and events at SMASH! With a sharp eye for timing, logistics, and the attendee experience, you’ll help ensure events run to schedule by coordinating with stage managers, guests, attendees, and other SMASH! departments.
You’ll have support from the Head of FOH and SMASH! crew, along with many seasoned SMASH staff members.
Though it’s a leading role, we understand you’re starting out, so expect plenty of guidance to help you succeed. You’ll receive support from the Head of FOH for all aspects, including leadership skills. Along the way, you’ll make valuable connections and grow in your role.
Key Responsibilities:
Pre-Convention
- Work closely with event planners to understand event content, FOH area needs, scheduling and logistics.
- Make sure everyone involved is well-informed and comfortable asking questions. Build connections, hold meetings, and share updates in open Slack channels.
- Set up online meetings with relevant department staff to ensure smooth communication and schedule planning.
- Input into key documents such as schedules, run sheets, and various protocols.
- Coordinate with the Creative Department to develop posters and signage for stage events.
- Coordinate with the Head of FOH to create equipment lists and requests.
On the Day
- Lead the FOH operations to ensure everything runs smoothly.
- Hold morning briefings to go over stage logistics, ensuring relevant stakeholders are involved and informed.
- Act as the main link between attendees, ICC security and backstage crew, ensuring smooth transitions and production flow.
- Manage the attendee experience at FOH, keeping safety measures and special requirements in mind.
- Handle unexpected issues or emergencies, making quick decisions to keep the event on track.
- Direct SMASH! crew as needed to manage attendees inside and outside the stage.
Skills and experience
- Basic knowledge of event logistics.
- Strong communication skills for liaising with staff, crew and stakeholders across departments, both verbal and written.
- Adaptability and problem-solving skills.
- Team-oriented and collaborative approach to work.
Availability
- Contactable at least 2 days per week via email and phone.
- Attendance at staff meetings and ad hoc coordination workshops.
- Available in person for convention setup day and the convention days.
Qualifications (Desirable)
- Qualifications related to any coordination, management or stages.
- Previous volunteer or management experience
- Highly motivated and self-sufficient.
