Assistant Crew Coordinator

As an Assistant Crew Coordinator, you are an important part of the Crew Team. You’ll work closely with other Crew Coordinators and report to the Crew Directors’ to handle key responsibilities. These include but are not limited to recruiting new Crew members, organising training sessions, keeping records up-to-date, resolving grievances or Crew enquiries, and planning social events.

Your role goes beyond completing tasks. You represent SMASH! and its culture, and will help demonstrate what it means to be a volunteer. This means acting as a positive example for the Crew and helping to create a welcoming, friendly and supportive environment.

You’ll often collaborate with others in the team and reach out for guidance or support when needed. Whether you’re assisting with recruitment campaigns, addressing issues, or helping run events, your work will contribute to making the Crew experience smooth and enjoyable.

Ultimately, your role supports the vision of the People & Culture team. By focusing on Crew well-being and engagement, you’ll help ensure SMASH! and its values are reflected in everything the Crew does.

Essential Skills, Knowledge, Experience and Qualifications

  • Positive, collaborative attitude with a willingness to learn quickly.

  • Deep understanding and commitment to confidentiality and respect.
  • Well-organised, with proficiency in managing records and data.
  • Basic competency in Excel and/or Google Sheets.
  • Experience handling grievance and conflict resolution effectively.
  • Reliable and responsive to online and phone communication.
  • Excellent verbal and written communication skills.
  • Valid Working With Children Check (WWCC).
  • Will allow time to obtain one if successful
  • Availability to support convention days in Sydney, Australia.
  • Commitment to attending required meetings, workshops, activities and training sessions.

Desired Skills, Knowledge, Experience and Qualifications

  • Demonstrated leadership skills and experience.
  • Basic competency in Atlassian software (Jira), Canva, Google Suite, Slack, and Discord.
  • Background in volunteering or customer service (preferred but not essential).
  • Experience in event coordination and delivery.
  • Education or work experience in Human Resources.
  • Proficiency in data management and organisation.
  • Strong interpersonal communication skills, friendly and engaging.
  • Experience in both public speaking and working with various group sizes.
